Personal data
Through our platform, we process personal data. Which data these are is explained for the different services we provide. We also always state for what purposes we process that data and on what legal basis we do so.
In short, we process personal data for the following purposes and on the following legal grounds:
- Sending newsletters (consent).
- Responding to contact (legitimate interest).
- Conducting giveaways (contract).
- Collaborations and editorial productions (contract or consent).
- Handling webshop orders (contract and legal obligation).
- Statistics and analysis of platform use (legitimate interest).
What you need to know about our newsletter
We use a direct marketing email system for the newsletter: Mailchimp. You can only subscribe yourself to this newsletter. So you won’t end up on a mailing list by accident. To send you a newsletter, we process your name and email address and no other data. We do this with your consent. You can withdraw that consent at any time by unsubscribing. You can do this via the unsubscribe link found in the footer of every newsletter. We retain your data as long as you are subscribed to the newsletter. After unsubscribing, we delete your data as soon as it is no longer needed, unless we are legally required to retain it longer. We only process your data (your name and email address) to send newsletters with editorial articles, giveaways, marketing messages, updates and other information about thegreenlist.nl.
Mailchimp is an external service provider. It is possible that your data is processed outside the European Economic Area. If that is the case, we ensure appropriate safeguards to protect your privacy.
What you need to know if you contribute to an article, for example as an editor or interviewee
We work with permanent (freelance) editors and content creators. People are also regularly interviewed and featured, for example in website articles, video or podcast content. In such collaborations, we also process personal data such as your full name and address, business and banking information (if payment is involved), your email address and phone number. If you are not self-employed but do paid work for us, we will request a copy of your ID once. We only do this when legally required, for example in the context of tax or administrative obligations. Sometimes we also process a photo. For example, a photo on the editorial page or shown in articles (author block).
We process this data on the basis of our agreement (e.g. for paid collaborations). In some cases, there is no contract, and we process data based on your consent. In that case, you always have the right to withdraw that consent. We only use your personal data for the purpose for which it was collected, for example, for publishing the content as agreed. The personal data we process for these collaborations is retained for as long as the relevant article or post is online and thereafter for as long as reasonably necessary for administrative and editorial purposes.

What you need to know if you participate in giveaways
We regularly organise giveaways on social media and via the newsletter. To ensure a fair draw, notify the winner and send a product, we process personal data. We process this data on the basis of our contract. By signing up for a giveaway, you enter into a contract based on the giveaway terms, so always read those carefully!
The following data are used in giveaways:
- For Instagram or LinkedIn giveaways: (i) we process all participants’ usernames to enable selection of a winner, (ii) we use the username to announce the winner, and (iii) we use the winner’s name and address and email to handle the prize distribution (this is often done by the company that provides the prize).
- For newsletter giveaways: (i) we process the name and email address of all participants, (ii) we publish the winner’s first name and last initial in the newsletter and also contact the winner personally via email, and (iii) we use the name, address and email of the winner to distribute the prize (again, often arranged by the prize sponsor).
- If thegreenlist.nl ships the package, we use the name and address only for that purpose. Shipping is always done via PostNL. In practice, companies or responsible PR agencies usually handle prize delivery. In that case, we receive the name, address and email and pass it on. The company or PR agency providing and sending the prize is independently responsible for how they further process your data.
We do not retain personal data longer than necessary for the purpose for which they were collected, unless a statutory retention period applies.
Thegreenlist.nl is not liable for how companies or PR agencies handle (personal) data. Please refer to the privacy statement of the company or PR agency involved.
What you need to know if you file a complaint about a giveaway
Anyone who believes that we have not complied with the rules for giveaways may file a complaint. The complaints procedure from the giveaway terms applies. We keep a file of all complaints in which name and address data is recorded in connection with the relevant giveaway. We have a legitimate interest in this. The promotional games of chance code requires us to have a complaints procedure for giveaways. In order to implement this procedure effectively, we need some data. This data is used only for proper handling of complaints and not for any other purpose.
If someone is dissatisfied with our handling of a complaint, they can also file a complaint with the Dutch Gambling Authority (Kansspelautoriteit). Data is retained for the duration of the legal limitation period.
What you need to know if you purchase something in the webshop
When you make a purchase in our webshop, we use your name and address and email address only to ship your order. Shipping is always via PostNL. Payments go through an external payment provider. What you need to know about external links and apps
Our content often includes external links to websites or apps outside the thegreenlist.nl domain. For example, affiliate links to a product available via a webshop. Keep in mind that we have no control over the content on these external websites or apps. Therefore, we are not responsible for the practices and content found on those websites and apps. Please consult the privacy policy of those third-party websites and apps for more information.

You will also find buttons under each article to share content via social media. These buttons are provided by the platforms themselves. This code may place a cookie. You can read more about this in the privacy statements of Facebook, Instagram, Pinterest and X, for example.
What you need to know about our statistics
Through WordPress and Google Analytics, we have access to statistics from our website. These data are anonymised and not directly traceable to individuals, but they give insight into visitor numbers, origin, and click behaviour. We use these statistics solely to understand how our platforms are used.
On social media, we have access to account statistics, such as views, reach, likes, engagement and aggregated visitor data.
Through Mailchimp, we have access to newsletter statistics, such as whether a newsletter has been opened and which links were clicked.
We only share results of collaborations in aggregated form and never at an individual level.
Who do we share data with?
We do not provide personal data to third parties without reason. There are a few exceptions, explained below. Thegreenlist.nl may be legally required to share your data with third parties, for example in case of a suspected crime. We also involve third parties in the delivery of our services, and therefore may share data with them. For example:
- Website visitor data with parties involved in the website (such as a web developer or hosting company).
- Newsletter subscriber data with Mailchimp and freelance team members who help draft and send the newsletter.
- Company data with our (financial) advisor for bookkeeping purposes, or with a lawyer or debt collection agency if there is a legal dispute or unpaid invoice.
With third parties who have access to personal data in the course of their work, we always agree on confidentiality. If those parties process your data on behalf of thegreenlist.nl, we sign a data processing agreement. This ensures those parties are also bound by privacy laws. Some third parties we use are independently responsible for processing your data and thus we do not sign a processing agreement with them (e.g., a lawyer, jurist or debt collection agency).
For some services, we use parties outside the European Economic Area, such as Mailchimp. In those cases, we ensure appropriate safeguards to protect your privacy.
What you need to know about our cookies
A cookie is a small text file stored on your computer, tablet or smartphone when you first visit this website. To ensure the website works properly, thegreenlist.nl uses cookies. On visiting the website, only functional cookies are enabled by default. These cannot be disabled, as the website would not work correctly.
We also collect visitor data via Google Analytics. We have configured Google Analytics in accordance with the Dutch Data Protection Authority’s privacy-friendly setup guide (Autoriteit Persoonsgegevens). Should that guidance change, we will adjust our Google Analytics settings accordingly.
For cookies that require consent by law, we ask for your permission via the cookie banner on your first visit.
Finally, our website includes embedded content, such as (own) social videos and content from podcast platforms like Spotify, iTunes, Podimo, etc. These providers often place cookies as well. Be sure to read their cookie statements too.
Storage
Your data is stored by thegreenlist.nl for as long as necessary to carry out the relevant activity, unless a legal obligation requires longer retention. For specific retention periods, see the descriptions provided for each activity above.

We take the security of your personal data very seriously. Of course, we ensure that your personal data is properly secured. We apply appropriate technical and organisational measures to protect your data.
Your rights as a visitor
Privacy laws give you several rights as a visitor of this website. You have the right to:

- Restrict processing of your personal data.
- Data portability.
- Withdraw your consent.
We do not make decisions based solely on automated processing.
Access, rectification, deletion
You have the right to view the data we collect about you. You may request correction or deletion. We are obliged to comply if you ask.

You may always request to transfer your personal data to another party.
Withdraw consent
If you previously gave consent for use of your personal data, you may withdraw it at any time without providing a reason.
Identity verification
To request access, correction or deletion of your personal data, or to withdraw your consent or object to processing, email us. We are required to verify that the request was made by you, to prevent disclosure to the wrong person. There are two options:
- We can schedule a meeting where you show your ID in person. We won’t copy it, only record the document number.
- If you prefer not to come in person, send a copy of your ID along with your request. Be sure to black out your photo, MRZ (machine-readable zone), passport number and BSN. You can use the Dutch government’s Copy ID app.
We will respond as quickly as possible and within the legally prescribed time limit.
File a complaint with the Dutch Data Protection Authority
If you believe your personal data is not being processed correctly, you can always file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). Of course, we hope you contact us first so we can try to resolve it together.

Because thegreenlist.nl continues to grow and legislation sometimes changes, this privacy policy may be updated from time to time. All updates to this privacy policy will be shown on this page, including the date of the latest update. Changes are effective immediately, so check this page regularly.
